FemAcademy ("we", "us", or "our") is committed to protecting your privacy. This policy explains what personal data we collect, why we collect it, and your rights regarding that data.

1. What personal data we collect

When you submit an enquiry via our contact form:

  • Name — so we can address you personally
  • Email address — to respond to your enquiry
  • Student level (GCSE, A-Level, University) — to understand your tutoring needs
  • Subject interest (Maths, Physics, MATLAB) — to tailor our response
  • Message details — including current grade, topics, exam dates, and what you want to improve
  • Exam board (optional) — AQA, Edexcel, OCR, or other
  • Preferred lesson times (optional) — to help with scheduling
  • How you heard about us (optional) — to understand which marketing is working

When you use our website:

  • Website analytics data — collected via Google Analytics across all pages. This includes:
    • IP address (anonymized)
    • Browser type and version
    • Device type (mobile, tablet, desktop)
    • Pages visited and time spent on page
    • Approximate geographic location (country and city level)
  • Theme preference (light or dark mode) — stored locally in your browser only, never sent to us

After you book lessons:

We use the following third-party services to deliver tutoring:

  • Microsoft Teams — for video calls
  • Microsoft OneNote — for shared lesson notes
  • Excalidraw — for interactive whiteboard (if needed)

These services are subject to Microsoft's and Excalidraw's own privacy policies. We do not control how they process your data during lessons.

2. Why we collect your data (legal basis)

3. How we store and protect your data

Contact form submissions:

  • Submitted via Web3Forms (a third-party form processing service)
  • Forwarded to our email address: fem-academy@outlook.com
  • Stored in our password-protected Outlook email account

Website analytics:

  • Processed by Google Analytics (Google Ireland Limited)
  • Stored on Google's servers in accordance with their privacy policy
  • IP addresses are anonymized

Theme preference:

  • Stored locally in your browser using localStorage
  • Never sent to our servers or any third party

We take reasonable security measures to protect your data. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

4. How long we keep your data

  • Enquiry emails: Deleted within 6 months if no lessons are booked
  • Student correspondence: Kept for the duration of tutoring and up to 12 months after the last lesson (in case of follow-up questions or references)
  • Google Analytics data: Automatically deleted after 14 months (Google's default retention period)
  • Payment records: Kept for 6 years (HMRC requirement for self-employed tax records)

5. Who we share your data with

We do not sell, rent, or trade your personal data. We only share it with:

  • Web3Forms — to process contact form submissions
  • Google Analytics — to analyze website traffic (anonymized data only)
  • Microsoft — when using Teams and OneNote for lessons (only after you book)

These third parties process data on our behalf and are required to protect it in line with GDPR. We do not share your data with any other organizations unless required by law.

6. Your rights under GDPR

You have the following rights regarding your personal data:

  • Right of access — request a copy of the personal data we hold about you
  • Right to rectification — ask us to correct any inaccurate or incomplete data
  • Right to erasure ("right to be forgotten") — request deletion of your data
  • Right to restrict processing — ask us to limit how we use your data
  • Right to data portability — receive your data in a commonly used format
  • Right to object — object to processing based on legitimate interest (e.g., analytics)
  • Right to withdraw consent — withdraw consent at any time (where consent is the legal basis)
